(一)會議邀請函的.含義
會議邀請函是專門用于邀請?zhí)囟▎挝换蛉耸繀⒓訒h，具有禮儀和告知雙重作用的會議文書。
邀請函用于會議活動時(shí)，與會議通知的不同之處在于：邀請函主要用于橫向性的會議活動，發(fā)送對象是不受本機(jī)關(guān)職權(quán)所制約的單位和個(gè)人，也不屬于本組織的成員，一般不具有法定的與會權(quán)利或義務(wù)，是否參加會議由對象自行決定。舉行學(xué)術(shù)研討會、咨詢論證會、技術(shù)鑒定會、貿(mào)易洽談會、產(chǎn)品發(fā)布會產(chǎn)等，以發(fā)邀請函為宜。而會議通知則用于具有縱向關(guān)系(即主辦方與參會者存在隸屬關(guān)系或工作上的管理關(guān)系)性質(zhì)的會議，或者與會者本身具有參會的法定權(quán)利和義務(wù)的會議，如人民代表大會、董事會議等。對于這些會議的對象來說，參加會議是一種責(zé)任，因此只能發(fā)會議通知，不能用邀請函。學(xué)術(shù)性團(tuán)體舉行年會或?qū)ｎ}研討會時(shí)，要區(qū)別成員與非成員。對于團(tuán)體成員應(yīng)當(dāng)發(fā)會議通知，而邀請非團(tuán)體成員參加則應(yīng)當(dāng)用邀請函。
(二)會議邀請函的基本內(nèi)容
會議邀請函的基本內(nèi)容與會議通知一致，包括會議的背景、目的和名稱;主辦單位和組織機(jī)構(gòu);會議內(nèi)容和形式;參加對象;會議的時(shí)間和地點(diǎn)、聯(lián)絡(luò)方式以及其他需要說明的事項(xiàng)。
(三)會議邀請函的結(jié)構(gòu)與寫法
1.標(biāo)題。由會議名稱和“邀請函(書)”組成，一般可不寫主辦機(jī)關(guān)名稱和“關(guān)于舉辦”的字樣，如：《亞太城市信息化高級論壇邀請函》。“邀請函”三字是完整的文種名稱，與公文中的“函”是兩種不同的文種，因此不宜拆開寫成“關(guān)于邀請出席會議的函”
2.稱呼。邀請函的發(fā)送對象有三類情況：
(1)發(fā)送到單位的邀請函，應(yīng)當(dāng)寫單位名稱。由于邀請函是一種禮儀性文書，稱呼中要用單稱的寫法，不宜用泛稱(統(tǒng)稱)，以示禮貌和尊重。
(2)邀請函直接發(fā)給個(gè)人的，應(yīng)當(dāng)寫個(gè)人姓名，前冠“尊敬的”敬語詞，后綴“先生”、“女士”、“同志”等。
(3)網(wǎng)上或報(bào)刊上公開發(fā)布的邀請函，由于對象不確定，可省略稱呼，或以“敬啟者”統(tǒng)稱。
3.正文。正文應(yīng)逐項(xiàng)載明具體內(nèi)容。開頭部分寫明舉辦會議的背景和目的，用“特邀請您出席(列席)”照應(yīng)稱呼，再用過渡句轉(zhuǎn)入下文;主體部分可采用序號加小標(biāo)題的形式寫明具體事項(xiàng);最后寫明聯(lián)系聯(lián)絡(luò)信息和聯(lián)絡(luò)方式。結(jié)尾處也可寫“此致”，再換行頂格寫“敬禮”，亦可省略。
4.落款。因邀請函的標(biāo)題一般不標(biāo)注主辦單位名稱，因此落款處應(yīng)當(dāng)署主辦單位名稱并蓋章。
5.成文時(shí)間。寫明具體的年、月、日。
